How to Find and Merge Duplicate Contacts in Salesforce
Updated · By the Clientell AI team · How we write
To remove duplicate contacts in Salesforce, use Duplicate Management. Create or edit a matching rule, attach it to a duplicate rule that alerts or blocks new duplicates, then merge the matches. You can merge up to three records at a time. Duplicate jobs, which scan existing records, need Performance or Unlimited Edition.
How to deduplicate contacts in Salesforce
Duplicate Management has three parts: matching rules (how to spot a duplicate), duplicate rules (what happens when one is found), and duplicate jobs (a scan of existing records).
- 1
Check the standard rules first
Salesforce ships a Standard Contact Matching Rule and a Standard Contact Duplicate Rule. Open Matching Rules and Duplicate Rules in Setup to see how they behave before you build your own.
- 2
Create a custom matching rule if needed
In Setup, open Matching Rules and click New Rule for Contact. Match on Email first, then add fuzzy name matching plus Account for people who use different emails. Activate the rule.
- 3
Create the duplicate rule
In Setup, open Duplicate Rules and click New Rule. Pick Contact, choose to alert or block users who create a duplicate, and choose to report on duplicates. Select the matching rule, map the fields if needed, add conditions if the rule should only run for some users, then save and activate.
- 4
Merge what is found
Users with merge permission can compare and merge up to three records on the same object. Activities and related records move to the surviving contact.
- 5
Clean up the existing backlog
Run a duplicate job against your matching rule to find duplicates already in the org. Duplicate jobs are available in Performance and Unlimited editions. Review the results as duplicate record sets, then merge in groups of three.

The Challenge
Duplicate contacts accumulate in Salesforce from multiple data sources: web forms, imports, integrations, and manual entry. Duplicates cause email deliverability issues, inaccurate contact counts, and confusion about which record is the source of truth. Cleaning up contacts is particularly sensitive because of the related activity and opportunity history.
Or let Clientell AI do it
Clientell AI configures Salesforce contact deduplication using native Matching Rules and Duplicate Rules. Describe your matching criteria and merge preferences, and Clientell AI builds the configuration to identify, prevent, and help resolve duplicate contacts.
How It Works
- 1
Describe your matching criteria
Tell Clientell AI how to identify duplicate contacts: by email address, name and account, phone number, or custom matching logic.
- 2
AI configures dedup rules
Clientell AI sets up Matching Rules, Duplicate Rules, and merge field priorities within Salesforce's native duplicate management framework.
- 3
Review dedup configuration
Preview matching logic, duplicate alert/block behavior, and merge field priorities before activation.
- 4
Deploy with approval
Activate contact deduplication rules after your review, preventing new duplicates and enabling merge workflows for existing ones.
Frequently Asked Questions
- What matching criteria work best for contact deduplication?
- Email address is typically the strongest single matching field. Combining name + account name or phone number as secondary criteria helps catch duplicates with different email addresses.
- What happens to activities when contacts are merged?
- When contacts are merged using Salesforce's native merge functionality, activities, opportunity contact roles, and other related records are automatically moved to the surviving contact record.
- Can it prevent duplicates from being created?
- Yes. Salesforce Duplicate Rules can be configured to either alert users about potential duplicates or block duplicate creation entirely, based on your preference.
- How do I mass dedupe in Salesforce?
- Native merging is limited to three records at a time. For a large backlog, run a duplicate job to find the groups, then merge them in batches. Some teams add an AppExchange tool for bulk merges. Judge any tool on match quality and on how much control you keep over the surviving record.
- What are the best Salesforce deduplication tools?
- Start with the built-in matching rules, duplicate rules and duplicate jobs. They cost nothing extra on most editions. Add a third-party tool only if you need bulk merging, scheduled cleanups or matching the standard rules cannot do.
- Can I dedupe accounts and leads the same way?
- Yes. Accounts and leads have their own standard matching and duplicate rules. The steps are the same: matching rule, duplicate rule, then merge. For company records, see the guide to account deduplication in Salesforce.
