How to Find and Merge Duplicate Accounts in Salesforce
Updated · By the Clientell AI team · How we write
To remove duplicate accounts in Salesforce, use Duplicate Management. Turn on the Standard Account Duplicate Rule, which matches on account name plus address, phone or website. Open an account, click View Duplicates, then merge up to three accounts. Business accounts and person accounts cannot be merged with each other.
How to deduplicate accounts in Salesforce
Account duplicates are harder than contact duplicates because company names vary: "Acme Inc", "ACME Corp" and "Acme". The standard account matching rule removes words such as Inc and Corp before it compares names.
- 1
Find the existing duplicates
Run a report with a grouped count by account name, or use the SOQL below. This shows how big the problem is before you change any rules.
- 2
Review the standard account rules
In Setup, open Matching Rules and Duplicate Rules. The Standard Account Matching Rule looks for pairs such as Account Name with Billing Street, City or ZIP, or Website with Phone. Make sure the Standard Account Duplicate Rule is active.
- 3
Tune the rules if needed
A duplicate rule can use up to three matching rules, and an org can have up to five active matching rules per object. Clone the standard rule if you need to add fields, such as a custom external ID.
- 4
Choose alert or block
In the duplicate rule, set the action when a user creates or edits an account. Alert shows a warning with the matches. Block stops the save. Start with Alert while you check match quality.
- 5
Merge the matches
Open an account that has duplicates and click View Duplicates. Select up to three accounts and click Next. Pick the account to keep and the field values that should survive, then merge. Related contacts, opportunities and cases move to the surviving account.
- 6
Clean up the backlog
Run a duplicate job against your matching rule to find duplicates already in the org. Duplicate jobs need Performance or Unlimited Edition. Review the duplicate record sets, then merge them in groups of three.
SOQL: account names that appear more than once
SELECT Name, COUNT(Id) total
FROM Account
GROUP BY Name
HAVING COUNT(Id) > 1
ORDER BY COUNT(Id) DESCThis only catches exact name matches. The matching rule also catches near matches.

The Challenge
Duplicate accounts are one of the most persistent data quality issues in Salesforce. They fragment customer data across multiple records, causing inaccurate reporting, confused sales territories, and poor customer experiences. Salesforce's native duplicate management helps but requires careful configuration of matching rules and merge policies.
Or let Clientell AI do it
Clientell AI configures Salesforce's duplicate management framework (matching rules, duplicate rules, and merge policies) from natural language descriptions. Describe your matching criteria and merge preferences, and Clientell AI builds the complete deduplication setup.
How It Works
- 1
Describe your matching criteria
Tell Clientell AI how to identify duplicate accounts: by name similarity, domain, address, or any combination of fields.
- 2
AI configures matching and duplicate rules
Clientell AI sets up Salesforce Matching Rules and Duplicate Rules with your specified criteria, including alert vs. block behavior.
- 3
Review dedup configuration
Preview matching rules, duplicate rules, and merge field priorities before activation.
- 4
Deploy with approval
Activate deduplication rules in your org after review, preventing future duplicates and enabling merge workflows.
Frequently Asked Questions
- Does Clientell AI use Salesforce's native duplicate management?
- Yes. Clientell AI configures Salesforce's built-in Matching Rules and Duplicate Rules, ensuring compatibility with standard Salesforce functionality and the duplicate management UI.
- Can it help merge existing duplicate accounts?
- Clientell AI can help you configure merge field priorities (which record's values are kept) and build reports to identify existing duplicate clusters for review.
- How does it handle accounts with related records?
- When accounts are merged using Salesforce's native merge functionality, related records (Contacts, Opportunities, Cases) are automatically re-parented to the surviving account.
- What is the difference between account and contact deduplication?
- Account rules match on company name, address, phone and website. Contact rules match on person details such as email and name. Both use the same Duplicate Management tools. See the contact deduplication guide for the contact steps.
- How do I mass dedupe accounts in Salesforce?
- Native merging handles three accounts at a time. For a big backlog, run a duplicate job to find the sets, then merge them in batches, or use an AppExchange tool for bulk merges.
- Can I merge a person account with a business account?
- No. You can merge business accounts with each other, or person accounts with each other, but not one type with the other.
