How to Set Up Case Assignment Rules in Salesforce

Updated · By the Clientell AI team · How we write

To set up case assignment rules in Salesforce, go to Setup, search for Case Assignment Rules, and click New. Name the rule and mark it active. Add rule entries in order, each with criteria and an owner (a user or queue). Only one rule can be active at a time. Cases must be set to use it.

How to create a case assignment rule

A case assignment rule is a list of rule entries. Salesforce checks them in order and uses the first entry whose criteria match the case.

  1. 1

    Create the queues first

In Setup, search for Queues and create one queue for each team that should receive cases. Add Case as a supported object and add the members.

  2. 2

    Create the rule

In Setup, search for Case Assignment Rules and click New. Give it a name and tick Active. You can have several rules, such as a standard rule and a holiday rule, but only one can be active at a time.

  3. 3

    Add rule entries

Open the rule and click New in the Rule Entries section. Set the sort order, the criteria (for example Case Origin equals Email and Priority equals High), and the user or queue that should own matching cases.

  4. 4

    Order the entries

Put the most specific entries first and a catch-all entry last. Salesforce stops at the first match.

  5. 5

    Make cases use the rule

On a new case created in the Salesforce UI, tick the checkbox "Assign using active assignment rules" before saving. An admin can edit the page layout to show it.

  6. 6

Handle cases created by a flow

Salesforce Help describes setting the owner with a Flow as the workaround when assignment rules do not apply, for example for cases that come in by Email-to-Case. Use a Decision element for your criteria and set the OwnerId to the queue or user.

  7. 7

    Test the rule

Create test cases that match each entry, and one that matches none, and confirm each ends up with the right owner.

The Challenge

Case assignment in Salesforce determines which support agents handle incoming cases. Simple round-robin doesn't account for agent skills, workload, or case complexity. Configuring assignment rules for multiple criteria (product area, case priority, customer tier, agent skills) becomes unwieldy with Salesforce's standard assignment rule interface.

Or let Clientell AI do it

Clientell AI builds Salesforce case assignment rules from natural language descriptions. Describe your routing criteria and Clientell AI configures assignment rules, queues, and any supporting Flow logic for intelligent case distribution.

How It Works

Frequently Asked Questions

Can Clientell AI route cases based on agent skills?
Yes. If agent skills are tracked in Salesforce (via custom fields, skill objects, or Omni-Channel skills-based routing), Clientell AI can build assignment rules that match case attributes to agent capabilities.
Does it work with Salesforce Omni-Channel?
Clientell AI can configure Omni-Channel routing rules and queue-based assignments, which integrate with Salesforce's Omni-Channel agent workload management.
Can it handle re-assignment when cases are escalated?
Yes. Clientell AI can build escalation-triggered re-assignment rules that route cases to specialized teams or senior agents when escalation criteria are met.
How do I auto assign cases in Salesforce?
Create a case assignment rule with entries that route by criteria to a queue or user, make it active, and make sure new cases use it. For load-based routing, use Omni-Channel.
Can I have more than one active case assignment rule?
No. You can create several, such as a standard rule and a holiday rule, but only one can be active at a time.
Do assignment rules run on cases created by a flow?
Do not count on it. Test your setup. If the owner is not set, assign it in the flow yourself, as Salesforce Help suggests.
