How to Automate Order Fulfillment in Salesforce
Updated · By the Clientell AI team · How we write
To automate fulfillment in Salesforce, enable Orders, create orders with products in Draft, and activate them when approved. Then build a record-triggered flow that runs when an order is Activated. It can create tasks, notify the warehouse and update the status. For full fulfillment orders, use Salesforce Order Management.
How to automate order fulfillment in Salesforce
There are two levels. The Order object works in standard Sales Cloud with flows. Fulfillment orders belong to Salesforce Order Management, a separate product.
- 1
Enable Orders
In Setup, search for Order Settings, tick Enable Orders and save. Orders are available in Professional, Enterprise, Performance, Unlimited and Developer Editions.
- 2
Create the order
Create an order on an account, add order products, and keep the status as Draft while it is reviewed.
- 3
Set up your statuses
Add the status values your team needs, such as Shipped and Delivered. Each order status belongs to a status category: Draft or Activated.
- 4
Activate the order
Move the order to Activated when it has been reviewed. After activation the order products are no longer edited directly, and the order is ready to be shipped or provisioned.
- 5
Build a record-triggered flow on Order
Create a record-triggered flow on Order that runs when the status is Activated. Add actions that fit your process: create a task for the fulfillment team, notify a queue, create a shipment record, or update a field.
- 6
Update status as work finishes
Use a second flow, or an integration with your shipping or warehouse system, to set the status to Shipped or Delivered and fill in tracking details.
- 7
For full fulfillment, use Order Management
In Salesforce Order Management, activating an order starts a flow that creates the order summary. Fulfillment orders can be created with the flow core action, Apex or Connect API, and managed fulfillment orders are created in the Allocated status.
SOQL: activated orders waiting to ship
SELECT Id, OrderNumber, AccountId, EffectiveDate, Status
FROM Order
WHERE Status = 'Activated'
ORDER BY EffectiveDateReplace Activated and Shipped with the status names in your org.

The Challenge
Orders sit in Salesforce as a record but the actual fulfillment status lives in NetSuite, SAP, or another ERP. Reps and customer success managers waste time switching between systems to answer 'where's my order?' and admins build fragile middleware to keep the data in sync.
Or let Clientell AI do it
Clientell AI generates Salesforce automation that creates Orders from won Opportunities, syncs fulfillment status from external systems via Flow callouts or middleware integrations, and notifies stakeholders when orders move through milestones. Logic is described in plain English and refactored without rebuilding integrations.
How It Works
- 1
Describe the fulfillment flow
Tell Clientell AI when an Order should be created from an Opportunity, what fields to map, and how status should sync from your ERP.
- 2
AI builds the order creation Flow
Clientell AI generates the record-triggered Flow that creates Order and Order Product records with the right field mappings.
- 3
Configure the ERP sync
If you have an existing integration (Mulesoft, Workato, Boomi, native NetSuite/SAP connector), Clientell AI wires the Flow to consume status updates from it.
- 4
Deploy and monitor
Clientell AI deploys the automation and creates a fulfillment dashboard so the whole team can see order status without leaving Salesforce.
Frequently Asked Questions
- Does this require a specific ERP integration tool?
- No. Clientell AI can wire into any integration tool you already use (Mulesoft, Workato, Boomi, custom Apex callouts) or recommend one if you don't have one.
- Can the automation handle partial fulfillment?
- Yes. Clientell AI builds logic that updates Order Product records individually when items ship at different times, with overall Order status reflecting the rollup.
- How are exceptions like backorders handled?
- Clientell AI can build alerting Flows that notify the rep, customer success manager, or a Slack channel when an Order Product enters a backorder or exception status.
- What does activating an order do in Salesforce?
- It moves the order from Draft to Activated. That marks it reviewed and ready to be shipped or provisioned, and the order products can no longer be edited directly.
- What is a fulfillment order in Salesforce?
- A record in Salesforce Order Management that tracks the work to fulfill part of an order, such as one warehouse shipment. It is not part of basic Orders in Sales Cloud.
- Can I automate fulfillment without Order Management?
- Yes, for simple cases. Use record-triggered flows on the Order object to create tasks, send notifications and update statuses.
