How to Automate Lead Qualification in Salesforce
Updated · By the Clientell AI team · How we write
To automate lead qualification in Salesforce, define your criteria, add a lead score formula field, and build a record-triggered flow. When the score passes your threshold, the flow sets Lead Status to Qualified, assigns an owner and creates a task. Use Path to guide reps, and convert qualified leads to a contact and opportunity.
How to build automated lead qualification
Write the rule in plain words first. Example: a lead is qualified when it has a phone number, a company size above a set number, and came from a web form.
- 1
Set up the Lead Status values
In Setup, open Object Manager, then Lead, then Fields and Relationships, and edit Lead Status. Add values such as New, Working, Qualified and Unqualified. You also set the default for new leads here. A converted status marks leads that were converted.
- 2
Add a score field
Create a formula field called Lead Score with the return type Number, using the signals you trust (see the example).
- 3
Turn on Path
In Setup, open Path Settings and create a path for Leads on the Lead Status field. Add guidance for each stage so reps know what to do next.
- 4
Build the record-triggered flow
Create a record-triggered flow on Lead, run when a record is created or updated, with the condition that Lead Score is at or above your threshold. Set Lead Status to Qualified, set the owner, and create a follow-up task.
- 5
Assign owners
Use lead queues and lead assignment rules, or assign the owner in the flow. Set up notifications so the new owner knows.
- 6
Convert qualified leads
Reps click Convert to create a contact, an account and an optional opportunity. Turn on Require Validation for Converted Leads to reduce duplicates at conversion.
Example lead score formula (number field)
IF(ISPICKVAL(LeadSource, "Web"), 10, 0)
+ IF(NOT(ISBLANK(Phone)), 10, 0)
+ IF(NumberOfEmployees > 100, 20, 0)Change the signals and points to match what your best deals share.

The Challenge
Defining and maintaining lead qualification criteria across multiple business units is tedious and error-prone. Sales and marketing teams often disagree on MQL and SQL definitions, leading to inconsistent handoffs and lost pipeline. Manually updating scoring thresholds as business conditions change creates constant admin overhead.
Or let Clientell AI do it
Clientell AI analyzes your existing lead data and conversion patterns to recommend qualification criteria and scoring thresholds. It generates the complete configuration for lead scoring rules, MQL/SQL field updates, and automated handoff workflows, all aligned to your sales process.
How It Works
- 1
Define qualification criteria
Specify your MQL and SQL definitions, including demographic and behavioral scoring factors, threshold values, and any segment-specific overrides.
- 2
AI generates scoring config
Clientell AI produces the full lead scoring configuration, including field mappings, threshold-based status transitions, and assignment rules for sales handoff.
- 3
Review qualification logic
Walk through the generated scoring model, qualification triggers, and handoff workflows. Adjust thresholds or add custom criteria before finalizing.
- 4
Deploy and monitor
Push the qualification automation to your Salesforce org. Monitor lead flow through each stage and refine scoring weights based on conversion outcomes.
Frequently Asked Questions
- Can I set different qualification criteria for different lead sources?
- Yes. You can define source-specific scoring weights and qualification thresholds, so leads from webinars, paid ads, or inbound forms each follow tailored criteria.
- How does the handoff to sales work once a lead qualifies?
- When a lead crosses your MQL or SQL threshold, the automation updates the lead status, assigns an owner based on your routing rules, and optionally creates a task or sends a notification to the rep.
- Can I adjust scoring thresholds after deployment?
- Yes. Thresholds and scoring weights can be updated at any time without rebuilding the entire configuration. Changes take effect immediately on new and existing leads.
- What is a qualified lead in Salesforce?
- A lead your team has judged ready for sales to pursue. In Salesforce this is usually a Lead Status value, such as Qualified, that you define. Converting the lead then creates the contact, account and optional opportunity.
- What is an MQL in Salesforce?
- A marketing qualified lead. Salesforce Account Engagement defines lifecycle stages that include MQL and SQL. In plain Salesforce you can model it with a Lead Status value or a custom field.
- Can lead qualification be fully automatic?
- A flow can mark leads as qualified and assign them from your rules. Many teams keep a person in the loop for the final call.
