How to Track Lifecycle Stage in Salesforce

Updated · By the Clientell AI team · How we write

Salesforce CRM does not ship a Lifecycle Stage field on Contact, so you create one. Add a picklist with values such as Prospect, Customer and Churned, turn on field history tracking, and build a record-triggered flow to update it when a deal closes or a contract ends. Add a date field to record each change.

How to build a lifecycle stage field

Account Engagement has its own lifecycle stages (Visitor, Prospect, MQL, SQL and Won opportunity). If you do not use it, build the field yourself in Salesforce.

  1. 1

    Agree on the stages

Write down each stage and the event that moves a person into it. Example: Prospect is the default, Customer starts when an opportunity is closed won, Churned starts when the contract ends.

  2. 2

    Create the picklist

In Setup, open Object Manager, then Contact, then Fields and Relationships. Create a Picklist field called Lifecycle Stage with your values. Add it to the page layout and set field-level security.

  3. 3

    Turn on field history tracking

On the Contact object, set up history tracking and choose Lifecycle Stage. Salesforce can track up to 20 fields per object with standard field history.

  4. 4

    Add a change date field

Create a date and time field called Lifecycle Stage Changed On. A record-triggered flow sets it to now each time the stage changes (see the example).

  5. 5

    Update the stage with flows

Build a record-triggered flow on Opportunity that sets the contact to Customer when an opportunity is won. Build a schedule-triggered flow that sets Churned when a contract end date has passed.

  6. 6

    Report on it

Create a report on contacts grouped by Lifecycle Stage, and a dashboard that shows how many move between stages each month.

Flow entry condition: run only when the stage changed

{!$Record.Lifecycle_Stage__c} <> {!$Record__Prior.Lifecycle_Stage__c}

Use this as a custom condition logic formula in a record-triggered flow on Contact.

The Challenge

Tracking where each contact stands in the customer lifecycle - from prospect to active customer to churned - requires monitoring multiple signals across opportunities, activities, and account status. Most Salesforce orgs lack a unified lifecycle field on the contact, and when one exists, keeping it current depends on reps manually updating it.

Or let Clientell AI do it

Clientell AI lets you define contact lifecycle stages and their transition criteria in plain English - such as moving a contact to 'Customer' when their opportunity closes-won or to 'At Risk' when no activity is logged for a defined period. It generates the Flows and field configurations needed to automatically advance or regress contacts through lifecycle stages based on real-time data.

How It Works

  1. 1

    Define lifecycle stages

Describe your lifecycle stages (e.g., Prospect, Marketing Qualified, Sales Engaged, Customer, Churned) and the criteria that trigger transitions between them.

  2. 2

    AI configures stage logic

Clientell AI creates the custom lifecycle field, picklist values, and Flows that automatically update the contact's lifecycle stage based on opportunity status, activity data, and account changes.

  3. 3

    Review transition rules

Test the automation with sample contacts across different scenarios to verify that stage transitions trigger correctly and edge cases (like re-engagement after churn) are handled.

  4. 4

    Deploy and track

Activate the lifecycle tracking in production and use it for segmented reporting, targeted marketing lists, and customer success outreach based on lifecycle stage.

Frequently Asked Questions

Can lifecycle stages move backward, such as from Customer to At Risk?
Yes. Clientell AI supports both forward and backward stage transitions. You can define regression criteria - such as no logged activity for a specified period or an account health score drop - that move contacts back to earlier stages.
How does lifecycle stage relate to lead status?
Lead status applies to leads before conversion. The contact lifecycle field picks up after conversion and tracks the contact through the customer journey. Clientell AI can align the initial contact lifecycle stage with the lead status at the time of conversion.
Can I use lifecycle stage for marketing segmentation?
Yes. The lifecycle stage field is available in Salesforce reports, list views, and campaign member filters, making it straightforward to build segmented lists for targeted marketing campaigns based on where contacts are in their journey.
Does Salesforce have a lifecycle stage field?
Not as a standard Contact field in Salesforce CRM. Account Engagement has lifecycle stages. In CRM, teams use Lead Status or a custom picklist.
How do I know when a contact changed lifecycle stage?
Turn on field history tracking for the field, and add a date field that a record-triggered flow fills when the stage changes.
